Disposal Schedule

Records should be retained as long as they have any business or administrative value. A correct system should have a definite schedule for the disposal of records to make sure it remains manageable. Records may also be transferred to an archive for future preservation.

Inventory of Records

A records inventory must be maintained at all stages. Such an inventory will detail the scope and volume of the organization’s records. This will allow the analyzing of the records system, so that protection and retention decisions can be made.

Taking Into Account Technological Changes

The electronic document system must take into account technological changes. A software that is being used to produce records may not be in use a decade from today, which will make the file it produced unreadable. Although there is no simple solution to this problem, it is recommended to use formats that will be easy to use, as well as a basic information backup system.
